Who can apply and how to book
- You must be registered with the Embassy's consular register (Registro de Matrícula Consular) and appear in person. Children must attend too.
- If you are not registered as a resident, bring a valid DNI; without it, the passport is issued for one year only.
- You can renew when the passport has less than one year left.
- Book by email at emb.hanoi.vis@maec.es. State that your name, sex, date and place of birth and parents' names match across your DNI, Spanish birth certificate and passport. Any mismatch must be resolved first.
- Phones and electronic devices are not allowed inside the Embassy. Bring your printed appointment confirmation and all originals and copies.

What to bring
- The Embassy's ordinary passport application form, completed, dated, signed, with photo attached.
- Your previous passport and your DNI, if you have one.
- If you have neither, or both expired 3 or more years ago: a full Spanish birth certificate issued within the last 6 months for passport purposes (not needed if your birth is registered at the Embassy).
- 1 recent colour photo, 32 x 26 mm, white background.
- The exact fee in cash: the Embassy cannot give change. Consular fees are usually updated quarterly.

Children under 18
- The child must attend with both parents (or guardians), who sign their consent. Bring the child's full birth certificate.
- An absent parent can give consent before a Spanish consular office, the Spanish police or a notary. Vietnamese documents need an Apostille (from 11 September 2026) and a Spanish translation.
- Children under 12 (no fingerprints) can attend before the honorary vice-consul in Ho Chi Minh City (ch.hochiminh@maec.es) or Da Nang (ch.danang@maec.es); the file is then posted to the Embassy.

Collection and your Vietnamese visa
- Collect at the Embassy, 4 Le Hong Phong, Ba Dinh, Hanoi, 14:00–15:00 on working days without an appointment, or at an honorary vice-consulate by prior arrangement.
- Bring the receipt and your old passport, which is cancelled (you may keep it). Someone else can collect with your signed authorisation.
- Your Vietnamese visa or temporary residence stamp in the old passport is no longer valid. Apply to the Vietnam Immigration Department to transfer it to the new passport (usually 5 working days). Tourists leaving soon can ask the Embassy for a supporting note verbale.

Lost or stolen passport
- Declaring the loss at the Embassy is mandatory; a police report is recommended. Once declared, the passport is cancelled even if you find it.
- Replacement passport: same fee as a new passport; you must be on the consular register.
- Urgent travel, not returning to Spain: a provisional passport (same fee, valid up to 12 months, needs authorisation from the Spanish police). Vietnam recognises it.
- Returning directly to Spain: a free safe-conduct, usually issued the same day, for a single trip. Email the consular section first.
- Then apply for a Vietnamese exit visa at the Immigration Department with the note verbale from the Embassy and the police report (about 7 days).
The consular fee table also lists an EU provisional travel document at VND 926,000; the Embassy's lost-passport page does not mention it for Spanish citizens.
